How does Tactly book appointments into my calendar?
When a caller wants an appointment, Tactly checks your availability, offers a couple of open times and books the one they choose. Availability comes from the calendar built into your Tactly dashboard, plus your Google, Apple iCloud, Fastmail or Yahoo calendar if you connect one. Bookings can confirm instantly or wait for your approval, and every booking is in your call summary email.
Three ways to set it up
Pick the one that fits how you work.
Your own calendar
Google Calendar, Apple iCloud, Fastmail or Yahoo. Tactly checks it for busy times during the call, so it never offers a time you already have something in. Google Calendar can also receive each confirmed appointment.
The Tactly calendar
No calendar? No problem. Your dashboard has a booking calendar ready on day one. Set your hours and Tactly starts booking.
Anything else
Outlook, a scheduling app or your job software. Send each booking through Zapier, or to any https webhook, and create the event there.
The built-in calendar
A full booking calendar, already in your dashboard.
Plenty of businesses never connect anything. The Tactly calendar does the whole job on its own, and it is included on every plan.
- A week view of every appointment, with the ones Tactly booked marked as new.
- Click any empty slot to mark it available or unavailable. Tactly only offers open time.
- Set your business days and hours once.
- Appointment types with their own length, such as a 30 minute consult or a 90 minute visit.
- Minimum notice, so nobody books ten minutes from now (from none up to two days).
- How far ahead callers can book (up to 90 days, or no limit).
- A gap between appointments, so you are never back to back (up to 15 minutes).
- Confirm instantly, or ask you to approve each booking first.
- A list of requests waiting on you, and one click to see details or cancel.
Outlook and other calendars
Send bookings anywhere with Zapier.
After every call Tactly sends Zapier the caller, the summary and, when a booking was made, its time, type and status. Four steps turn that into an event.
- Create a Zap
In Zapier, start a Zap with Webhooks by Zapier and choose Catch Hook. Copy the URL it gives you.
- Paste it into Tactly
In your Tactly dashboard, open the receptionist settings, paste the URL into Zapier, and send a test call.
- Keep only bookings
Add a Filter step that continues only when appointment_booked is true.
- Create the event
Add your calendar app (Outlook, for example) and choose Create Event. Map appointment_time to the start, and appointment_type and caller_name to the title.
Tactly offers times from your Tactly calendar on this path, so block your busy hours there. Prefer code? See the Tactly API and webhooks.
FAQ
Questions, answered
Do I need my own calendar to use Tactly?
No. Every Tactly account includes a booking calendar in the dashboard. Set your hours, and Tactly books callers into it. Connecting Google Calendar, Apple iCloud, Fastmail or Yahoo is optional.
Which calendars connect directly?
Google Calendar, Apple iCloud, Fastmail and Yahoo. Once connected, Tactly checks it for busy times while the caller is on the line, so it never offers a time you already have something in.
I use Outlook. What do I do?
Use the built-in calendar for your bookable hours and send each booking to Outlook with Zapier. The four Zapier steps on this page take a few minutes. Block your busy times in the Tactly calendar so they are not offered.
Is the caller booked on the spot?
Your choice. Confirm instantly and the caller hears they are booked before the call ends. Approve first and the booking arrives as a request you confirm in the dashboard.
Can a caller take a time that was just booked?
No. Tactly checks availability at the moment of the call and books the slot in a single step, so two callers cannot get the same time. If a time has just gone, it offers the next one.
Where do I see what was booked?
In the dashboard calendar and in the email summary you get after every call. Google Calendar and Zapier can receive each booking too.
