Appointment booking
The caller asks for a time. Tactly puts it on your calendar.
Nobody wants to leave a message and wait for a callback just to get a time. Tactly looks at your calendar, offers what is open, and books it before the call ends.
- TactlyHi, you've reached Juniper Grooming. I'm the virtual assistant and this call may be recorded. What can I do for you?
- CallerI need a bath and nail trim for my beagle. Anything Saturday?
- Looking up open times for Saturday
- TactlySaturday I have 9:00 in the morning or 1:30 in the afternoon. Which is better?
- CallerNine, please. It's Priya.
- Booked: Bath and nails, Sat 9:00 am
- TactlyYou're in for Saturday at 9:00, Priya. What's the best number in case the shop needs you?
How does appointment booking work?
Tactly books appointments during the call. When a caller says they want to come in, it checks your booking calendar for open times, offers a couple of options, and books the one the caller chooses. It only tells the caller they are booked once the calendar has accepted the slot, and the booking shows up in the call summary emailed to you.
It asks the way your front desk would
What do they need, and when suits them? Tactly asks in plain language and listens for a day or a time of day.
It offers only real openings
Times come from your calendar at the moment of the call. A slot someone else took ten minutes ago is not offered.
It confirms after the calendar does
The caller hears they are booked only once the calendar says yes. If the time has just gone, Tactly offers the next one.
Your availability stays in charge
Block an afternoon on the calendar and Tactly stops offering it from the next call. There is no second schedule to keep in step.
Straight talk
What it will not do.
Knowing the limits is how you set it up well.
- It books only the appointment types and times your calendar allows. It does not double-book or squeeze people in.
- If the calendar cannot be reached, it promises nothing and takes a message with the caller's preferred times.
- It does not take payments or deposits over the phone.
FAQ
Questions, answered
Can Tactly book appointments while the caller is on the phone?
Yes. It checks your calendar during the call, offers open times, and books the one the caller picks. The caller hears the confirmation before they hang up.
What happens if no offered time works for the caller?
It offers the nearest other openings it can find. If none suit, it takes the caller's name, number and the times they prefer, and you get that in the call summary.
Could a phone booking clash with one made online?
It should not. Tactly reads open times from the calendar when the call happens and only confirms once the calendar accepts the booking, so a taken slot fails and another is offered.
Is booking an extra cost?
No. Appointment booking comes with every plan, including Starter at $49 a month.
