Knowledge base

Tactly says what you told it, and nothing it made up.

A receptionist that guesses is worse than none. Tactly sticks to the information you gave it, and when it does not know, it says so and takes a message.

  • TactlyHello, Thistle Cottage Bakery. I'm the virtual assistant and this call may be recorded. What can I help with?
  • CallerDo you make gluten-free birthday cakes? And how much for one that feeds twenty?
  • TactlyThe bakery does offer gluten-free cakes. I don't have pricing for a cake that size, so I'd rather not guess.
  • TactlyCan I take your name and number so the team can call with a quote?
  • CallerSure. Hannah, 555 0198.
  • Message taken: gluten-free cake quote, serves 20

How does knowledge base work?

Tactly answers questions only from your business's knowledge base and the notes you write for it: your services, hours, service area, and any prices you are happy to share. It never invents a price, a policy or an opening. When a caller asks something your notes do not cover, Tactly says it does not have that answer and takes a message so you can follow up.

Write it the way you would say it

Plain sentences work best. "We do not service commercial buildings" is clearer than a bulleted list of codes.

Share only the prices you want quoted

A trip fee or a starting price is fine. Leave anything that depends on the job out, and Tactly will offer a callback instead.

Unsure means a message

When a question falls outside your notes, Tactly does not improvise. It writes the question down for you.

Edits apply on the next call

Change your hours or add a service, and the next caller hears the new version. Make a free test call to check it.

Straight talk

What it will not do.

Knowing the limits is how you set it up well.

  • It does not browse the web or look things up beyond what you gave it.
  • It will not quote a price or promise availability that is not in your notes or on your calendar.
  • It does not give medical, legal or financial advice, whatever your notes say.

What should I put in my notes?

Your hours, service area, the services you do and do not offer, prices you are happy to share, and the questions callers ask you most.
